The role of the contract Medical Records Clerk involves the management of patient documentation, including the classification, storage, and updating of medical records. This position is temporary, spanning from 13/07 to 01/09, and requires a keen attention to detail and strong organisational skills. The clerk will be responsible for ensuring that patient files are maintained accurately for quick retrieval by professionals. Duties include receiving and recording patient data, checking and updating demographic information, and managing incoming requests for medical records. Additionally, the clerk will assist with various administrative tasks and cover for other administrative roles during absences. The role also involves using electronic systems for tracking and organising records to streamline the retrieval process. Job Duties Record all patient data promptly upon receipt of information in patient records (daily). Check demographics and labels in patient records and ensure they are up to date. Print and organise all clinic lists required for each Directorate daily and a week ahead. Clear patient file numbers from the electronic tracer facility on Outlook when patient notes are returned to Medical Records. Manage Tracer request emails from Directorates. Register new patients on the tracking system. Input patient registration forms and scan necessary documents. Update address and name changes in the tracking system. Affix relevant stickers to files, such as MRDO, MRSA, Cardio, and Pacemaker stickers. Prepare urgent yellow bags and MDT bags for use in settings. Cover for the Messenger/Medical Records Clerk during holidays or sickness. Perform any other duties appropriate to the post. Job Requirements High level of accuracy and attention to detail. Computer literacy is essential. Ability to provide a prompt turnaround for files. Maintain tidy and efficient filing systems. Respond promptly to requests for files. Capable of working to deadlines. Strong organisational skills are necessary. Ability to engage effectively with a wide range of people. Team-oriented and able to collaborate with colleagues. Responsibility for ensuring all files are kept up to date.
