Office Administration Our client is seeking an enthusiastic Administration Assistant to join their innovative Global Support team. This exciting full-time opportunity involves providing vital administrative and secretarial assistance to help drive forward their dynamic business. By becoming part of this collaborative global team, you will play a significant role in supporting various functions, from managing client interactions to streamlining administrative processes. Job Duties:
Typing correspondence and formatting documentation. Maintaining current files, including filing emails and correspondence, photocopying, and closing matters once concluded. Preparing and sending invoices to clients while following up on payments. Keeping business systems updated and accurate. Managing client interactions and assisting Partners and their teams with client investigations, along with drafting client communications and legal documents. Organising in-house and external meetings and coordinating travel as necessary. General printing, scanning, and production of Court bundles when required. Taking ownership of allocated administrative tasks and supporting fee earners and wider teams. Proactively communicating with fee earners to identify opportunities for easing administrative burdens. Documenting existing processes and identifying areas for improvement to enhance efficiencies and client experiences. Mentoring and training colleagues as needed. Supporting IT and change projects through contributions to user acceptance testing, training coordination, and system upgrades.
Job Requirements:
Previous administration experience, ideally in a legal or professional services environment. Tech-savvy with comfort in a busy work environment. Strong organisational skills with the ability to effectively manage time and prioritise workload. Exceptional attention to detail. Proficiency in Microsoft Word and Outlook; working knowledge of Excel and PowerPoint is preferred.
